Office Manager is responsible for performing bookkeeping functions that assist in the daily operations of the branch. This individual prepares reports as required for branch, regional management and corporate office. 

  • Coordinates branch account receivable process including costing job labor and materials, invoicing, billing and bank deposits
  • Administers the branch payroll and human resources including entering payroll, issuing and distributing payroll checks, benefits enrollment, and coordinate branch workers’ compensation
  • Coordinates office collections of outstanding bills through phone and follow-up emails / letters to the customer
  • Reconciles customer invoices with installer’s billing to ensure accurate commission payments to installers
  • Prepares new hire packets, including the creation of an employee folder, and an attendance sheet for each employee
  • Supports contract administration through fulfilling request for certificate of insurance, bonds business licenses, safety programs and closeout documents
  • Miscellaneous office duties including, but not limited to, purchasing office supplies, processing ingoing/outgoing mail, act as liaison to IT for technical support
  • Other duties as assigned

Job Requirements

  • Proficient in Microsoft office products including word, excel, power-point and outlook.
  • Excellent verbal and written communication skills
  • Excellent data entry skills
  • High School Diploma or GED, required
  • 1-3 years of previous receptionist/ administrative assistant experience required
  • Experience with AR, AP, and payroll a plus
  • Must be honest, reliable and dependable and have a positive attitude
  • Must be able to work independently or with others in a team environment
  • Able to multitask and manage multiple tasks simultaneously
  • Operate general office equipment for example; fax machine, copier, scanner and etc.
  • Must be able to meet deadlines and prioritized work based on urgency
  • Must be able to work in a fast-pasted environment

Position requires a Drug Test, Background Check and Motor Vehicle Report to be completed Physical Demands
